Tableau Server Restart: 09.20.2024

Attention: Tableau Creators    

What’s Happening:  
D2I will be enabling the Tableau Catalog feature for campus common good Creator license holders. This requires a restart of the server.

When:  
The restart will take place on September 20, 2024 beginning at 8:00pm and is expected to take approximately 1 hour.  

Impact:  

  • There should be limited impacts to Tableau Creators, Interactors, and Viewers.
  • Tableau service (all published visualizations on iq-analytics, those embedded to a department webpage, and public visualizations, as well as published data sources) will be UNAVAILABLE during the downtime restart window.
  • Feel free to let your specific dashboard consumers know about the restart as needed.

Tableau Server Migration Scheduled: 04.29.2024

Attention: Tableau Producers

What’s Happening?
As the Tableau service is currently running in a degraded state due to hardware issues – the D2I Tableau support team is establishing a new PROD virtual server environment for the Tableau service and has scheduled a migration. Currently, TEST is available at https://iq-viz-test.austin.utexas.edu and we encourage all Tableau producers to test the new Tableau server version, 2023.1.10

When:
The migration will take place on June 15, 2024, beginning at 7:00am and is expected to take a minimum of 8-12 hours to complete.

Impact:
There should be limited impacts to Tableau Producers and Interactors. In the event of a catastrophic failure – the D2I Tableau support team will perform an emergency migration to virtual servers.

  • Tableau service (all published visualizations on iq-analytics, those embedded to a department webpage, and public visualizations, as well as published data sources) will be UNAVAILABLE during the downtime migration window. 
  • Feel free to let your specific dashboard consumers know about the maintenance as needed.

Tableau Server Degradation Vulnerability: 04.01.2024

What’s Happening?  
The campus Tableau service is currently running in a degraded state due to hardware memory issues. Due to the aging hardware (including this vulnerability) – the D2I Tableau support team is establishing a new virtual server environment for the Tableau service and is planning a migration.   

When:  
Current state until planned migration.  

Impact:  
There should be limited impacts to Tableau Producers and Interactors. Should you experience performance issues please notify us via e-mail. In the event of a catastrophic failure – the D2I Tableau support team will perform an emergency migration to virtual servers. Planned Tableau Server Maintenance - Operating System Upgrade: 04.15.2023

What’s Happening?
Operating System upgrade for the Tableau Server environment.

When:
Start: Saturday, April 15, 2022, 10:00pm
End: Sunday, April 16, 2022, 11:59pm

Impact:
Expect intermittent Tableau service during this weekend maintenance window. At times the Tableau servers will be UNAVAILABLE and all published visualizations (on iq-analytics, those embedded to a department webpage, and public visualizations) will not display.

Planned Tableau Server Downtime Maintenance - Security Patch: 12.20.2022

What’s happening?
We are applying a security patch on the Tableau Servers.

When:
Tuesday, December 20, 2022, from 9:00pm-1:00am.

Impact:

  • Tableau service (all published visualizations on iq-analytics, those embedded to a department webpage, and public visualizations, as well as published data sources) will be UNAVAILABLE during the downtime maintenance window. 
  • Feel free to let your specific dashboard consumers know about the maintenance and expected slower service performance as needed.

Action Item:
Producers please ensure that your Tableau desktop version is at least 2021.2.17, but not greater than 2021.2.20. If you are within this range there is no need to rush to install 2021.2.20 - https://www.tableau.com/support/releases/desktop/2021.2.20.

Tableau ExaData Database Migration Extension: 12.19.2022

We are extending the old IQ Oracle database cutoff from today, 12/19/22, to sometime in late January 2023. This message is only relevant to producers who still need to update their own published datasource connections from the old IQ Oracle database to the new ExaData Oracle database.

Tableau Testing Starts Now for Upcoming ExaData Database Migration: 11.14.2022

Attention: Tableau Producers

As we notified you back in August, we are switching from our existing IQ Oracle database to the ITS ExaData database (see notification). We are now ready to begin the Tableau phase of this migration testing. This notification provides a quick summary of the work and timeline followed by a link to more detailed information and instructions.

QUICK SUMMARY:

What: Infrastructure upgrade - IQ (production) Oracle database will move to the ITS ExaData database.

When: Database cutover date is 12/3/2022.

Retirement date for the existing (legacy) IQ Oracle database is 12/19/2022.

WhoIf you do not utilize any published datasources that connect to the current IQ Oracle database, you do not need to do anything – disregard this notification.

If you utilize published datasources or you create and publish your own datasources, keep reading, this notification is for you.

If you connect to the IQ Oracle database through other non-Tableau means, keep reading, you will want to similarly test those connections as well.

Planned Tableau Server Maintenance - Firmware Updates: 11.10.2022

What’s Happening?
We will be performing firmware updates on the Tableau Servers. The maintenance will be completed over a two-night period to avoid a service outage.

When:
Saturday, November 12, 2022 from 7:00pm-9:00pm and Sunday, November 13, 2022 from 7:00pm-9:00pm.

Impact:
Tableau will be running in a degraded state during the two-hour maintenance windows on Saturday and Sunday night. Expect slower than normal performance on the Tableau service during each maintenance. Feel free to let your specific dashboard consumers know about the maintenance and expected slower service performance as needed.

DUO Update and Downtime Maintenance for Tableau Upgrade: 10.21.2022

After review, the changes pushed by DUO on Wednesday 10/19/22 introduced an incompatibility with Tableau Desktop SSO when authenticating with Tableau Server (web browser SSO remains fine). An upgrade to Tableau Server and associated desktop clients resolves this incompatibility. 

We will immediately (after hours on 10/21/22) switch Tableau Desktop SSO back to non-SSO authentication (leaving web browser SSO in place). We are also scheduling the necessary Tableau upgrade (which also resolves other just-announced security patching), and then will be re-enabling Tableau Desktop SSO at that time. See the upgrade downtime maintenance info below.

  • Downtime maintenance is Saturday, October 29, 2022 from 7:00AM to 11:00AM
  • Once maintenance is complete Tableau Desktop SSO will be re-enabled

  • Tableau service (all published visualizations on iq-analytics, those embedded to a department webpage, and public visualizations, as well as published data sources) will be UNAVAILABLE during the downtime maintenance window. 
  • Feel free to let your specific dashboard consumers know about the downtime maintenance as needed.

 Action Required by Tableau Producers:

  • Starting today 10/21/22 please complete your own producer testing for the Tableau server upgrade (v2021.2) on https://iq-viztest.austin.utexas.edu. Run through your normal processes using the new Tableau version (server and desktop). Let us know if you encounter any testing issues by Thursday, 10/27/22.
  • For now, keep your existing desktop app version, so you can still publish as needed this week to the existing prod server version.
  • But, for testing the new version, please also download v2021.2 desktop: https://www.tableau.com/support/releases/desktop/2021.2.18#esdalt (select Windows or MAC).
  • Once the server upgrade is complete on 10/29/22, you can delete the old desktop app version from your machine, keeping v2021.2 only.

Single Sign-on and Multifactor Authentication: 10.16.2022

What’s Happening?

  • Maintenance to activate the use of Single Sign-on and Multifactor Authentication when logging into Tableau.
  • Downtime maintenance is Sunday, October 16, 2022 from 8:00AM to 9:00AM.
  • Once maintenance is complete, all Tableau users will begin logging into Tableau via the standard Single Sign-on system with their UT-EID, password and Multifactor credentials.

Maintenance Impact:

  • Tableau service (all published visualizations on iq-analytics, those embedded to a department webpage, and public visualizations, as well as published data sources) will be UNAVAILABLE during the downtime maintenance window. 
  • Feel free to let your specific dashboard consumers know about the one-hour downtime maintenance as needed.

New Log In Requirement for Tableau:

  • When logging into Tableau via desktop or web browser be prepared to log in via the standard Single Sign-on system with UT-EID, password and Multifactor credentials.
  • Let your specific dashboard consumers know about the new multifactor log in requirement.
Patch a Newly Identified Vulnerability: 09.25.2022

What’s Happening?

  • Maintenance to apply a Tableau patch to address a newly identified vulnerability.
  • Downtime maintenance is Sunday, September 25, 2022 from 8:00AM to 11:00AM.

 Action Required:

  • Tableau producers should have already updated their desktop app to version 2020.4.21. See update desktop app notification here. Please update your desktop app now if you have not already done so.

Impact:

  • Tableau service (all published visualizations on iq-analytics, those embedded to a department webpage, and public visualizations) will be UNAVAILABLE during the downtime maintenance window. Feel free to let your specific dashboard consumers know about the downtime maintenance as needed.

Patch a Newly Identified Vulnerability: 09.19.2022

Tableau has a patch to address a newly identified vulnerability and there is a desktop app update that must be applied. See below for further action necessary by all Tableau producers.

Immediate Action Required:

Tableau desktop producers MUST update their desktop version to 2020.4.21 (see download links below). This version update includes remediation for the NEW vulnerability. Producers, if you do not have admin rights, contact your IT support staff for assistance to complete the update (admin rights are required).

Complete the desktop app update as soon as possible, but no later than end of business, Monday, September 19, 2022. Failure to complete the Tableau Desktop app update could result in an interruption of your access to the Tableau server.

If you are assigned a “common good” license and you are no longer using the Tableau desktop app, let us know so we can reclaim your common good license and make it available for assignment to others on Campus.

Note: Tableau has a version check prompt. When you get prompted to download the latest Tableau version, please select “skip the update.”  DO NOT install any other version of Tableau; download version 2020.4.21 only. It’s important to keep your desktop version in sync with the version running on the Enterprise Tableau servers if you intend to publish your visualizations to the server.
