1. Modern Data Hub: Technical

Services supporting the modern cloud-based Data Hub in Amazon Web Services ( AWS). This includes data pipelines development and support, mainframe data replication, file ingestion, user management, infrastructure provisioning, and analytics support for business intelligence tools. 

1.1: Data Pipelines Development, Maintenance, and Support

Provides end-to-end ETL/ELT data processing, ensuring data ingestion, transformation, storage, and availability for analytics and reporting. Pipelines support structured and semi-structured  data formats across multiple technologies and data sources. Specific services supported are dependent on the individual pipeline, but may include automated scheduling, monitoring, error handling, and/or validation to maintain data integrity and reliability. 

Available To: Campus customers.

Features:
  • Automated ETL/ELT Pipelines: Extracts, transforms, and loads (ETL/ELT) data from various sources into the Data Hub. 
  • Support for Multiple Data Formats; Data formats to be agreed upon by customer and D2I.
  • Data Validation and Quality Checks: Ensures data integrity, consistency, and compliance with governance policies. 
  • Pipeline Monitoring and Alerts: Automated monitoring and notifications for pipeline failures.
  • Metadata Documentation: Data lineage and transformation logic are documented in Alation. 
 
Service Level Objectives:
  • Timely and Accurate Data Refreshes: Pipelines adhere to predefined refresh schedules to ensure up-to-date data availability.   
  • Incident Resolution: Issues affecting data availability are addressed based on business impact and an estimated time to resolution will be provided to customers within normal business hours.
  • Uptime and Reliability: During business hours, pipeline downtime will be addressed promptly. Any after-hours downtime of pipelines will be addressed the next business day, with a goal of proactive monitoring to minimize downtime.
1.2: UT Mainframe Data Replication Development, Maintenance, and Support

Ensures secure, scheduled replication of structured mainframe data, enabling downstream analytics and institutional reporting. 

Available To: Campus partners requiring access to Mainframe data in the cloud.

1.3: CSV Data Loader Development, Maintenance, and Support

Allows campus users to upload and process CSV data into the Data Hub. The service ensures schema enforcement, governance compliance, and seamless data integration while supporting structured data ingestion from flat files.

Available To: Campus analytics users who rely on CSV-formatted flat files for data integration; Departments requiring scheduled data loads into the Data Hub.

1.4: Data Spoke Support: Technical

Provides schema-based access control, allowing campus teams to securely store, tranform, and manage database objects within their own workspace in the Operational Data Store (ODS) within the Data Hub. The service facilitates role-based access management, schema provisioning, and governance enforcement to support self-service data transformation and analysis. Additionally, it ensures that access is compliant with security and governance standards, maintaining auditability and controlled data integration with other sources.

Available To: Campus analytics teams requiring dedicated database development environments for structured data transformations and reporting; Faculty and staff working with analytics and reporting on institutional data.

  • Provisioning Timeline: Schema requests are processed within one business day, pending governance approval.
  • Access Management: Requests for access changes are completed within one business day, with immediate revocation for security risks.
  • Incident Response: Issues during business hours are addressed the same business day when possible; Issues outside of business hours will be evaluated the next business day.
1.5: Cloud Infrastructure Provisioning, Maintenance, and Support for Analytics

Involves setup, configuration, and ongoing maintenance of cloud infrastructure to support business and technical needs. It ensures high availability, scalability, and security while integrating with existing cloud and on-premises systems. The service covers provisioning of compute, storage, networking resources, as well as continuous monitoring, patching, and performance optimization.

Available To: Business units requiring new cloud infrastructure associated with the Data Hub; Third-party vendors integrating Data Hub services.

  • Incident Response: High-priority issues addressed within two hours; Standard incidents resolved within one to three business days.
  • Security and Compliance: Monthly security patches and vulnerability assessments to ensure compliance.
  • Provisioning Requests: Email request with detailed infrastructure needs (compute, storage, networking) and configuration requirements.
  • Incident Reporting: Include timestamps, error logs, and system impact for expedited resolution.
  • Change Management: All changes follow the D2I Change Management Process with stakeholders notified of planned maintenance. 
1.6: Data Hub User Management

Provisions and maintains user access to the UT Data Hub, ensuring compliance with security policies and governance principles. It includes support and troubleshooting for Database User Management. The service ensures that users have the appropriate permissions while following the Principle of Least Privilege to maintain security and minimize risk.

Available To: Business units that require access to the Data Hub or Legacy databases; D2I users involved with data management services.

  • Security and Governance: Ensuring compliance with governance policies and managing role-based access control.  
 
Service Level Objectives:
  • Provisioning Requests: Completed within two business days, assuming all approvals are in place.
  • Support Requests: Responded to within one business day for troubleshooting and issue resolution; Complex requests may take longer than two business days.
  • Security and Compliance: All access requests are reviewed under governance policies to maintain security and ensure minimal risk. 
1.7: Tableau Infrastructure Support

Provides the setup, provisioning, and maintenance of cloud infrastructure to support the hosting of the Tableau Server cluster for D2I customers. It ensures integration with existing cloud or on-premises systems, providing high availability, security, and scalability for business intelligence workloads. This includes version upgrades, monitoring, troubleshooting, and security management. 

Available To: Business units requiring Tableau analytics.

2. Analytical and Data Modeling

Services that support business intelligence and the trusted information infrastructure across campus. Includes Tableau license and publishing support, the campus-wide Insights service, and data spokes for analytics and data models.

2.1: Business Intelligence Tools: Tableau User and Publishing Support

Provides enterprise-level Tableau visualization hosting to support campus-wide analytics and reporting. Facilitates access, authorization, and developer support for CSU analytics teams.

Available To: Faculty and Staff
Cost: This service is provided as a common good for a limited number of licenses; Other licenses may be purchased for a fee by the CSU.

Features:
  • Enterprise Tableau hosting services are available to CSU analytics developers. 
  • Creator licenses allow CSUs to build, deploy, and maintain Tableau dashboards and visualizations.
 
Service Level Objectives:
  • Tableau platform availability supports institutional reporting and analytics needs. 
  • Creator licenses are issued and managed based on CSU needs and licensing agreements. 
  • Automated alerts are generated 24/7 for any detected system exceptions. 
  • Incidents are reviewed and addressed at the start of the next business day. 
  • Downstream consumers are promptly notified of any service outages.
2.2: Campus Data and Analytics: Insights Service

The Insights Service can be found at insights.utexas.edu. D2I provides troubleshooting for any issues users may experience with reports in Insights or with the Insights service itself. D2I also accepts requests to add existing campus reporting and analytics resources to the Insights Service.

Features:
  • Insights is an online tool that provides one location for faculty and staff to search for and discover shared and trusted campus information. 
  • This tool is managed by the D2I team who use it to aggregate resources from colleges, schools, and units, as well as D2I-created reports and analytics.
  • Resources published by D2I are intended to be used to assist CSUs and university leadership in answering common campus-wide questions. 
 
Service Level Objectives:
  • Routine troubleshooting requests will be addressed within one business day. 
  • Requests to add existing resources will be addressed within three business days.
2.3: Campus Data and Analytics: General Questions

D2I provides guidance and connections related to general campus-wide data and analytics questions. D2I cannot always fulfill the requests, however, advice and direction to existing resources  can be provided.

2.5: Organizational Hierarchy Service (OHS) Crosswalk

Provides support for the OHS crosswalk tables that consolidate financial (unit code), non-financial (Department System department code) and academic compliance reporting (IRRIS department code) organizational hierarchies.

3. Metadata Management

Services that support metadata management for campus sources and deliverables. Includes all aspects of support for Alation and the organizational hierarchy service.

3.1: Alation

Provides oversight, education, training, and support for use of the University’s metadata management tool. Alation is an online metadata management tool and data catalog providing documentation for D2I data sources, data models, and analytics deliverables.

4. Legacy Systems: Technical

Services maintaining the on-premises legacy data warehouse, including data replication, processing, financial reporting, and BI tool support, that are in sustainment mode. Includes:

4A: Data Replication, Processing, and Refresh
Ensures reliable data replication and refresh processes within the Legacy Data Warehouse for reporting and analytics. All services are currently in sustainment mode. Existing customers only.

4B: Legacy Infrastructure and Applications
Services maintaining the on-premises legacy data warehouse, including data replication, processing, financial reporting and BI tool support. All services are currently in sustainment mode.

4A. Data Replication, Processing, and Refresh

4A1: Legacy Adabas Data Propagation

Provides daily propagation of UT Mainframe data to the legacy data warehouse to support reporting and other applications. 

Available To: Existing customers only.
Cost: This service is provided as a common good to campus with no cost associated; Currently in sustainment mode.

Features:
  • Provides the bulk of UT mainframe data contained in the on-prem data warehouse. 
  • Applies to any Adabas source file on the UT mainframe in compliance with data governance policies.
  • Maintenance only for existing files; no materialization of new files.
 
Service Level Objectives:
  • Data is loaded on varying set schedules as agreed upon and is available in the data warehouse  at a time communicated to customers
  • Ad hoc refreshes for time-sensitive reporting are available on request. 
  • Changes to source schema are reflected pending coordination with D2I and requires two weeks lead time.
4A2: IQ REST API Service (support only)

Provides secure access to institutional data in the legacy data warehouse through curated REST API endpoints, enabling operational and analytical applications to retrieve structured data efficiently. 

Available To: Existing customers only.
Cost: This service is provided as a common good to campus with no cost associated; Currently in sustainment mode; No new API endpoints will be developed.

4A3: Legacy Dimensional Data Model Support

Provides maintenance and support for legacy dimensional data models that provide structured, analytical-ready data from key institutional business domains to facilitate internal reporting and analytical development. Current legacy subject areas include Instruction, Finance, and Enrollment. These models serve as foundational data structures for internal and select campus reporting needs.

Available To: Existing customers only.

  • Models are refreshed daily or intraday depending on business requirements, with data available by the start of the business day.
  • Any issues in the scheduled midnight and mid-day refreshes are addressed immediately to minimize disruption to critical enrollment management processes.
4A4: Legacy Academic Data Processing

Supports daily processing of data from legacy data warehouse into the custom target tables that enable downstream academic applications and reporting for customers in the Executive Vice President and Provost (EVPP) portfolio.

4A5: Annual Financial Reporting (AFR) Support

Provides on-demand, ad hoc refreshes (as well as special nightly refreshes) of accounting data to support the development and validation of the UT System Annual Financial Report (AFR). Close coordination is maintained with the Accounting and Financial Management (AFM) team throughout to ensure timely and accurate data availability.

Features:
  • Critical accounting tables are refreshed from the UT Mainframe to the legacy data warehouse outside the standard daily processing window, ensuring up-to-date financial data is available for AFR preparation. 
  • On-demand refreshes occur throughout the AFR reporting cycle, which peaks in September and October. 
 
Service Level Objectives:
  • On-demand data refreshes are completed as soon as possible, subject to mainframe processing, source, and target availability. 
  • Support is available during business hours throughout September and October, with extended coverage on weekends and evenings during peak AFR development periods. 
  • Any refresh failures or issues are resolved as soon as possible to minimize disruption to the AFR preparation process. 
  • Requests received outside of business hours will be completed by the start of the next business day.
4A6: Monthly Financial Reporting (MFR) Refresh

Supports the ad hoc refresh of accounting data on the fifth business day of each month, following the monthly close process, to ensure financial reports are updated and available the following morning. The Monthly Close Coordination email list informs D2I upon close process completion. A D2I support analyst acknowledges and confirms the data refresh is complete via the same email list.

Features:
  • Critical accounting tables are refreshed outside the standard daily processing window to reflect month-end financial data.  
 
Service Level Objectives:
  • Refresh is initiated after Accounting and Enterprise Technology Enterprise Platforms team analysts confirm the monthly close process is complete, typically performed after business hours on the fifth business day of the month. 
  • Dependent Cognos reports are refreshed overnight and made available by the start of the following business day. 
  • Any issues or failures identified are resolved promptly to ensure data and reports are available by the following morning. 
4A7: Legacy Census Refresh/President's Memo

Supports ad hoc refreshes of Registrar’s Office data to facilitate census reporting during Spring and Fall semesters and to support annual President’s Memo in the fall. Data refreshes are coordinated closely with the institutional Research, Reporting, Information, and Surveys (IRRIS) team’s validation process to ensure accurate and timely updates for institutional reporting and executive-level communications.

Features:
  • Refresh of five IRRIS data sources and corresponding IQDirect tables from the legacy data warehouse. 
  • Verification of successful updates in dependent Cognos reports after data refresh.  
 
Service Level Objectives:
  • On-call support on completion of IRRIS validation process on mornings following 4th, 8th, 12th, and 20th class days to initiate data refreshes.  
  • Issues are resolved in coordination with IRRIS to ensure successful refresh completion.   
  • Consumers are notified if delays or failures occur.
4A8: HUB/TPASS Reporting

Supports ad hoc data processing and data refreshes to ensure the timely submission of procurement data for monthly and biannual statutory reporting requirements.

  • Automated process requiring minimal intervention. 
  • Verification checks ensure successful completion. 
Bi-annual TPASS Process: 
  • Manual data refresh and Cognos cube build performed on demand to support reporting deadlines. 
 
Service Level Objectives:
  • Automated data refresh; Reporting deliverables are updated and refreshed on demand at the customer's request.  
  • Bi-annual TPASS refreshes are completed the same day as the customer request, provided the request is received within business hours.   
  • Alerts are generated 24/7 for process failures or exceptions. 
  • After hours incidents are reviewed and addressed at the start of the next business day.  
  • Impacted consumers are promptly notified in case of failures or disruptions.
  • Reporting updates are provided to the customer for data validation before being published to the production environment.
4A9: IQDirect

Provides daily synchronization of legacy data warehouse tables into an Oracle Exadata schema, enabling customers to access institutional data directly via SQL for operational processing and application development. This service ensures timely and consistent data replication to support legacy reporting and data integration needs.

Available To: Existing customers within CSUs utilizing IQDirect for operational reporting and application data access.

4B. Legacy Infrastructure and Applications

4B1: Cognos Environment Hosting

This service provides a centralized Cognos server and authoring environment for campus analytics developers to create reports and data cubes from institutional data. The service maintains institutional reports and cubes for common use across campus and supports access control, authorization, and developer assistance. As a sustainment service, new development in Cognos is discouraged where alternative solutions exist. Users with author permissions can still develop reports for their production needs.

Available To: Faculty and staff requiring access to institutional reports, cubes, and reporting tools.
